Inversion Flight Academy is the responsible party (data controller) for the information described here. You can contact us at info@inversionflight.com with any question about this policy or your information.

When you enquire

If you contact us through our website form, an Instagram or Facebook message, or WhatsApp, we collect your name, phone number, email address, the course you are interested in, and the content of your messages. We also record which channel you came from and, where you use our automated chat, the callback time you select.

When you enrol

To register you as a student and support your visa and regulatory applications, we collect your date of birth, nationality, residential address, passport number, emergency and next-of-kin contact details, and details of your sponsor including their identity number and address. We also collect copies of supporting documents you upload, which may include your passport, police clearance certificate, proof of address, and academic and medical records.

When you pay

Payments are processed by our payment provider. We receive confirmation of the transaction, the amount, and a reference number. We do not receive or store your full card details.

• To respond to your enquiry and arrange a counselling call
• To send you our course and cost guide
• To process your enrolment and issue invoices and receipts
• To prepare the supporting letters and documents required for study visa and immigration applications
• To meet our obligations as a training organisation, including SACAA requirements
• To keep records required by law, including financial and training records

If you message us on Instagram, Facebook or WhatsApp, you may receive automated replies that ask for your contact details and offer available times for a counselling call. You can stop these at any time by replying STOP, or by telling us you would prefer to speak to someone directly.

We only send marketing messages to people who have asked to hear from us. We record whether and how you gave that consent, and you can withdraw it at any time.

We share your information only where necessary, with:

• Meta Platforms — where you contact us through Instagram, Facebook Messenger or WhatsApp, your messages pass through Meta’s services
• Our email provider — to deliver course guides, invoices and registration emails
• Our payment provider — to take and confirm payments
• Our application hosting provider — which stores our records securely on our behalf
• Government authorities and embassies — where you ask us to support a visa or immigration application, or where the law requires disclosure
• The South African Civil Aviation Authority and other regulators, where required for licensing and training records

We do not sell your personal information to anyone.

When you upload identity documents, we may use automated software to check that the file is legible and appears to be the type of document requested. This is a quality check to save you re-submitting an unusable file. It is not a decision about you, and a member of our staff reviews every application.

Enquiries that do not lead to enrolment are kept for up to two years, so we can pick up the conversation if you come back to us. Student records, including training and financial records, are kept for as long as required by aviation and tax law, and typically for at least five years after your training ends.

Our systems and some of our service providers are located outside South Africa. Where your information is transferred abroad, we take steps to ensure it remains protected to a standard consistent with South African law.

Under the Protection of Personal Information Act (POPIA), you may:

• Ask what personal information we hold about you
• Ask us to correct information that is wrong or incomplete
• Ask us to delete information we no longer need to keep
• Object to us using your information for marketing
• Complain to the Information Regulator of South Africa

If you are in the United Kingdom or European Economic Area, you have equivalent rights under the UK GDPR and GDPR, including the right to receive a copy of your information in a portable format.

To ask us to delete your information, email info@inversionflight.com with the subject line Data deletion request, telling us the name, phone number or email address you used when contacting us.

We will confirm within 7 days and complete the deletion within 30 days. Where we are legally required to keep certain records — for example training or financial records — we will tell you which information we must retain and why.

If you contacted us through Instagram, Facebook or WhatsApp, you can also remove our access to your conversation through your Meta account settings.

We restrict access to student records to staff who need it for their role. Credentials and keys used by our systems are stored encrypted, and documents are held in access controlled storage. No system is completely secure, but we review our controls and respond promptly to any issue we identify.

Our training is intended for applicants aged 17 and over. Where an applicant is under 18, we require the consent of a parent or legal guardian before processing their information.

We may update this policy as our services change. The date at the top shows when it was last revised. Where changes are significant, we will tell enrolled students directly.
